Patient Participation Report 2013/14
It was agreed that the PPG membership should change again this year as most people had been involved for two years. Five members voluntarily stepped down and we recruited five more from an advertising campaign, inside and outside the practice.
Patient Participation Group Members
Total of 12 Members made up of the following categories:
Female Members – 7
Male Members – 5
Age Group 45 – 54 – 1
Age Group 55 – 64 – 4
Age Group 65 – 74 – 6
Age Group 75 – 84 – 1
Ethnicity – White British – 12
Please note that the makeup of our group reflects the practice's demographic profile, which is a relatively affluent, elderly, largely white British population, compared to an average practice.
The meeting on the 4th July 2013 looked at the sample questionnaire that was used last year, and looked at a new format as well. The group agreed to go away and look at both questionnaires and decide which questions to use and consider other questions of their own and also ask at the PPG federation meeting.
At the next meeting on the 10th September no consensus was reached, all the members were then sent the questionnaires to look at again. Following email correspondence it was decided that the new questionnaire would be used along with a couple of questions one of our members picked up from the PPG federation.
This new questionnaire was made up and the process of circulating it and collecting results started on 23rd September.
The questionnaire was available, as with the previous two years' questionnaires, on line through the Audlem web site and distributed in paper form in the post office, and the chemist in Audlem, it was also available in the practice and at the shop in Woore.
We continued to distribute until we received 100 replies. The paper copies and online questionnaires were then analysed. We agreed to meet again to discuss the results when we had them.
On 23rd September, the questionnaire was printed, distributed as mentioned above and added to the Survey Monkey website.
The link to this site – http://www.surveymonkey.com/s/HJ3JQ2L – was then added to AudlemOnline and the practice website. The paper copies of the questionnaire were placed in the chemist and post office in Audlem, the medical practice and the local shop in Woore. It was discussed and decided at the last PPG meeting that this approach would target the widest possible group of people, and be a true representation of our practice population.
By 22nd October we had received the required number of completed questionnaires, 100. We analysed the results and collated a document to feed the results back to the PPG, the findings were discussed at the PPG meeting on 22nd November (see minutes in the practice waiting room) and suggestions were discussed such as:
The PPG wanted more details on the comments on the questionnaire, all patient comments were forwarded to the PPG on 27th November, and the final action plan was agreed at the next meeting on 14th January 2014 when members agreed the action plan as detailed above.
This action plan document has now been placed on both village and practice web sites and is available in paper copy from the waiting room. It is also included in PPG folder which is always available in the waiting room.
Update on last year's changes as a result of the patient questionnaire
We now have a texting system in operation to remind patients of when their appointments are and we continue to pro-actively seek both email and mobile telephone numbers as a matter of course.
We now offer online appointment booking as well as online prescription ordering. We also continue to publish a quarterly newsletter which is both paper and electronic.
The PPG is proving to be an effective group, and the patient questionnaire again has proved very useful, and all in all has been a very constructive exercise.
